Onboarding Buildertrend: 4 customers share how they found success as a Buildertrend Champion

Buildertrend Champion Customer Stories | Buildertrend

You might think the first thing you should do when investing in new software is get everyone trained on the tools day one, right?

Well actually, there’s a better way.

Individual roles will need access to different parts of the program, and everyone learns better differently, so tossing the whole team in at once will likely end in frustration.

The best way to ensure your entire team successfully learns new technology and incorporates it into their day-to-day is by electing an onboarding leader.

Here, we call it the Buildertrend Champion.

The Buildertrend Champion is an advocate for your company whose job is to be the frontman for Buildertrend. They’ll get the account set up properly, learn the basics of the platform with a dedicated coach and then guide each team member to train on the tools relevant to their role.

As a tech company, we love data. So, naturally, we turned to our reports to find a few Buildertrend Champions that would be willing to share their experience with you. And what did the data tell us? Well … that these four companies are killing it – and they have their onboarding leaders to thank.

The Buildertrend Champions of Tri-Town Construction, Golden Coast Construction & Restoration, Capital Asset Development and Titan sat down with us to discuss how being an onboarding leader for their teams led to faster learning, better understanding and quicker success with our platform.

Here are their stories.

How has your role as the Buildertrend Champion helped your team find success with our software?

Thomas Biglin, Vice President at Golden Coast Construction & Restoration: “Prior to having a dedicated Buildertrend Champion, our company struggled with underutilization of Buildertrend, despite the investment. By prioritizing a single point of accountability, we ensured that the software received the attention it needed. This focused approach enabled us to implement the software effectively within approximately four months.”

“I was hired to help Capital Asset Development define and improve their work processes. I had the opportunity to utilize Buildertrend with my previous employer and knew exactly how the technology could help streamline the building process and improve overall communication.”

Tonya Nesselroade

Project Coordinator at Capital Asset Development

What have you done as a Buildertrend Champion to help your team incorporate Buildertrend into their daily processes?

Thomas: “As a Buildertrend Champion, I’ve taken several steps to help my team seamlessly integrate Buildertrend into our daily processes:

  • Weekly production meetings: We conduct these meetings to review each project managed by our team. During these meetings, we ensure that Buildertrend is up to date, focusing on accuracy and online schedules for client visibility.
  • Daily Logs and photo documentation: We emphasize the importance of populating Daily Logs with detailed photo documentation. This practice ensures all project activities are recorded and can be referenced later if needed.
  • Client training at pre-production meetings: *This is the most important thing we’ve done. At the pre-production stage, we provide thorough training for our clients, informing them that Buildertrend will be used to document, track and communicate throughout the project. We also highlight that Buildertrend will be used to handle any warranty concerns after they move in. This sets the expectations for clients and ensures our team is aware that clients will be engaging with Buildertrend.”

“I think the most valuable thing we’ve developed in our daily processes is the expectation that each employee will put in Daily Logs every day for each job they’re working on. This has helped reduce the amount of time we spend on the phone with clients explaining what is happening with their project.”

Dominique Saindon

Estimator and Human Resource Manager at Tri-Town Construction, LLC

Dominique: “Being able to put one note in the software for both internal staff, homeowners and subs and vendors has reduced the amount of time we spend communicating the same information to multiple sources. Everything is kept in one place now.”

How does having a designated person oversee adoption of new technology help get team members on board faster?

Tonya: “A dedicated Buildertrend Champion can help overcome all the objectives that a company faces as they implement a new system and help keep the company focused on the broader goals. Customizing Buildertrend from scratch can feel overwhelming, but having a designated person will help the company meet deadlines and move the implementation process along much quicker.

“I found that if you tackle one module at a time, then you can celebrate small successes along the way toward using Buildertrend to its fullest. We started with the Schedule and then moved on the using RFIs, Tasks and Selections.”

“Buildertrend has made countless improvements since we started using the software. It’s vital for companies to have several employees that understand the program, but it’s always important to have an expert – in this case a Buildertrend Champion – that has taken the time to learn the program.”

Renee Davies Ecklund

Chief Operating Officer at Titan, LLC

Renee: “Our company’s administrative, sales and project management teams use the software differently, which makes it important to have an expert that knows how each team uses the software, but also how all the information inputted comes together to complement the needs of the different teams.”

What has your experience as a Buildertrend Champion been like so far?

Dominique: “As the Buildertrend Champion, I attended Buildertrend University, which gave me the buy-in for the software. I liked our previous software and was very resistant to learning a new software. But once I was able to personalize the experience, I was able to navigate the system and really use it to its fullest potential as well as encourage the rest of the team to use all the different functions. It made me excited for the program.”

“Overall, my experience as a Buildertrend Champion has taught me the importance of persistence, effective communication and the ability to inspire change. Despite the initial challenges, the journey has been highly rewarding – leading to significant improvements in our project management processes.”

Thomas Biglin

Vice President at Golden Coast Construction & Restoration
