Whether it’s sending out payroll, keeping track of project budgets or planning overall business goals – finances are an integral piece of managing your construction business. Luckily, using accounting software that’s connected to your project management software makes those complicated processes a whole lot simpler.

Buildertrend’s QuickBooks integration is equipped with two-way sync, so information can transfer between the two platforms quicker and easier than ever before. You can take job-specific expenses that originated in QuickBooks and send them back into Buildertrend for more accurate job costing.

Keep reading to learn more about this powerful integration and how it will change the way you manage finances for your construction company.

How does Buildertrend’s construction software integrate with QuickBooks?

Buildertrend integrates with QuickBooks’ desktop and online versions. The only difference is the desktop version requires users to manually sync information, whereas the online version will sync automatically when changes are made.

When integrating jobs from Buildertrend to QuickBooks, builders have full control over the information they want to sync. Unlike most accounting integrations, they can choose which data they want to connect. This makes it easier to get used to the new process. Typically, it’s easiest to start with any new jobs and continue from there.

Additionally, when your Buildertrend and QuickBooks accounts are connected, you can still control which invoices and expenses you want to sync. This includes being able to link your employees’ timesheets and send them over to payroll.

How does the two-way sync work between the platforms?

The two-way sync starts by creating an invoice in Buildertrend before sending it over to QuickBooks. Once the invoice is marked paid in QuickBooks, it will then trigger an automatic response to Buildertrend that will update the invoice as paid.

Buildertrend’s two-way sync with QuickBooks also makes it easy to track employees’ time. In the Time Clock feature, admins have the ability to approve shifts. From there, approved shifts can be sent over to QuickBooks Time Sheets. The job title and line items associated with each shift will transfer over, making payroll easier than ever.

You can also track smaller expenses like credit card reconciliations in QuickBooks without adding them to Buildertrend. You simply enter the expense, bill or check into QuickBooks first and the transaction amount will then be automatically added to the QuickBooks Other Costs column in your Buildertrend budget – as long as it’s itemized.

How does integrating QuickBooks help builders?

When you integrate with QuickBooks, you’ll have the ability to send over bills from unpaid Buildertrend expenses. When those bills are paid in full within QuickBooks, the related expenses in Buildertrend will also be marked as paid, cutting down on duplicate entry.

Our platform also allows you to send bills to QuickBooks faster with the option to send multiple at the same time. This will reduce the amount of time spent sending information to your accounting system, while also streamlining your process.

This integration will strengthen the communication between your construction accounting system and Buildertrend, ensuring better financial accuracy. It will allow team members to see financial information without giving too many people access to your QuickBooks account.

How does it increase efficiency in day-to-day processes?

One of the best aspects of integrating QuickBooks with Buildertrend is that everything is saved and documented in one place, which ensures better workflows and transparency. Your accounting team now has the tools they need to implement best practices for financial management and create a reliable purchase order system.

You can also use Buildertrend’s Bills feature to quickly enter receipts for your accounting team to review. They can then code and send the expense directly to QuickBooks. Integrating Buildertrend will eliminate unnecessary communication while bridging the gap between you, your accounting team and the field crew.

Are there any updates to the QuickBooks integration that customers can look forward to?

Our Product team is placing a big focus on our QuickBooks integration this year. Customers can look forward to a new Taxes feature for QuickBooks Online in the near future.

With Taxes, you’ll be able to accurately communicate total cost to owners by including taxes on client-facing financial records. Integrating QuickBooks Online with Buildertrend will also allow you to collect the proper amount of sales tax through Owner Invoices.
